Technology is the first thing employees need on move-in day. Start planning early, since internet service installation alone can take weeks.
8–12 weeks before
– Confirm the move date and floor plan
– Order internet service for the new location, ideally two connections for redundancy
– Assess the new space: power, cabling, network closet, and Wi-Fi needs
– Schedule a Wi-Fi survey if possible
– Decide what moves and what gets replaced
– Notify vendors, and plan phone number porting
– Update the IT budget
4–8 weeks before
– Design the network and order equipment
– Arrange structured cabling, and confirm testing
– Plan the server room or network closet: rack, power, cooling, and UPS
– Update the inventory of every device and where it will go
– Create a desk and room map with network ports and equipment needs
– Plan printers, phones, displays, and meeting-room technology
– Update your address in accounts, services, and DNS records where needed
2–4 weeks before
– Confirm internet circuit installation date
– Pre-configure network equipment, firewalls, and switches
– Back up everything, and verify restores
– Label cables, devices, and boxes
– Communicate move instructions to staff: what to pack and what not to
– Arrange movers experienced with IT equipment
Move weekend
– Power down systems in the right order
– Transport servers and sensitive equipment carefully
– Set up the network first, then servers, then workstations
– Test internet, phones, Wi-Fi, printers, and key applications
– Keep a punch list of issues
First week after
– Provide on-site IT support
– Resolve problems quickly
– Update network diagrams and documentation
– Confirm backups and monitoring work
– Securely dispose of old equipment and cancel old services
Common mistakes
Late internet orders, undersized network closets, missing cabling, and no testing plan.
