Migrations fail when planning is rushed. A structured approach reduces surprises
and keeps your team working.

**1. Define the goal and scope**

Why are you migrating, and what exactly moves? Identify systems, data, users, and
integrations.

**2. Inventory and assess**

– Current data volumes and quality

– Dependencies and integrations

– Customizations that may not carry over

– Who uses what, and when

**3. Clean up first**

Archive or delete outdated data. Migrating clutter makes the new system worse from
day one.

**4. Choose the approach**

– **Big bang:** switch everything at once. Faster but riskier.

– **Phased:** move groups or functions gradually. Safer but longer.

– **Parallel run:** operate both systems briefly to compare results

**5. Plan for failure**

– Full backups before starting

– A written rollback plan and decision point

– A tested restore of key data

**6. Test**

– Migrate a pilot group or sample data

– Validate data accuracy

– Test integrations and permissions

– Have real users check their workflows

**7. Schedule carefully**

Pick quiet periods, avoid month-end or peak seasons, and communicate the schedule
early.

**8. Communicate and train**

Tell staff what changes, when, and where to get help. Provide short training and
quick reference guides.

**9. Support after go-live**

Arrange extra support for the first weeks. Track issues and fix them quickly.

**10. Close out**

Confirm everything works, decommission old systems securely, retain archives as
required, and document the new setup.

**The biggest risk**

Underestimating the human side. Good communication matters as much as technical
work.
