Licensing terms decide what you can legally do with software and what you’ll pay.
Misunderstanding them leads to overspending or compliance trouble.

**Common models**

– **Per user:** each person is licensed, often across multiple devices (Microsoft
365)

– **Per device:** each computer is licensed, regardless of how many people use it

– **Concurrent:** a set number of simultaneous users

– **Perpetual:** pay once, own a version, though support and updates often cost
extra

– **Subscription:** recurring payments for access, usually including updates

– **Consumption-based:** pay for what you use (cloud services)

– **Per core or per server:** common for server and database software

**Traps to watch for**

1. **Auto-renewals** at higher prices, often with a short cancellation window

2. **Minimum commitments** that lock you in for one to three years

3. **Hidden add-ons:** features that require higher tiers

4. **Server licensing surprises:** Windows Server requires licenses for cores and
client access licenses (CALs) for users or devices

5. **Virtualization rules** that change what you must license

6. **Using consumer licenses for business** when terms prohibit it

7. **Shared accounts** that violate per-user terms

8. **Audit risk:** vendors can audit usage and charge for shortfalls

9. **Price changes** mid-contract on renewals

**How to protect yourself**

– Keep a central record of licenses, renewal dates, and owners

– Read renewal and cancellation terms before signing

– Review usage before renewing

– Use a reseller that understands licensing rules

– Match license type to how people actually work

**Ask before you buy**

Who needs it? How many devices? What happens if we grow or shrink?
