New employees judge your organization quickly. Having their technology ready makes
a strong first impression and reduces risk.

**Before the start date**

– **Receive the request** from HR with name, role, manager, start date, and location

– **Create accounts:** Microsoft 365 or Google, plus role-specific apps

– **Assign licenses**

– **Set up groups and permissions** based on role, not by copying another user

– **Prepare equipment:** laptop, dock, monitor, headset, and phone if needed

– **Configure the device:** encryption, security tools, management enrollment, and
required software

– **Set up MFA** instructions

– **Prepare email signature, phone extension, and distribution lists**

– **Arrange building access and badges**

**Day one**

– Hand over equipment and walk through sign-in

– Help set up **MFA** and a **password manager**

– Review the **acceptable use policy** and have it acknowledged

– Explain **how to get IT help** (phone, email, portal)

– Show how to use **printers, Wi-Fi, and meeting rooms**

– Confirm access to the necessary **apps and files**

**First week**

– Short **security awareness training** and phishing tips

– Follow up to catch missing access or issues

– Verify the equipment works well for the user

**Security principles**

– **Least privilege:** only the access the role needs

– **Unique accounts:** never shared logins

– **Documented approvals** for sensitive access

**Make it repeatable**

Use a standard form and checklist, and track completion in your ticketing system.

**Track assets**

Record device serial numbers and assignments so you can recover equipment later.
