Managed IT pricing depends on what’s included, so “price per user” alone can mislead.
Here’s how to make sense of quotes.

**Common pricing models**

– **Per user, per month:** a flat fee for each employee, usually covering their
devices and support. Simple to budget.

– **Per device, per month:** priced by the number of computers and servers

– **Tiered packages:** bronze, silver, and gold style bundles with increasing coverage

– **Flat monthly fee:** one price for the entire environment

– **À la carte:** you choose individual services, such as monitoring, backup, and
security

**What affects the price**

– Number of users and devices

– Hours of support coverage (business hours or 24/7)

– Included on-site visits

– Security tools and monitoring level

– Complexity (servers, multiple sites, specialized software)

– Compliance needs

– Contract length

**What to confirm is included**

– Help desk support, and whether it’s unlimited

– Projects such as migrations or office moves

– Backup and recovery

– Security tools and monitoring

– Microsoft 365 administration

– Hardware and software procurement

– Strategic planning and reviews

**Watch for extras**

Ask what costs more: after-hours support, on-site visits, project work, onboarding
fees, and software licenses.

**Compare fairly**

Ask each provider to quote the same scope. A lower price may exclude security or
after-hours help that another includes.

**Think in terms of value**

Compare the monthly fee to what downtime, a breach, or lost productivity would cost,
and to the salary of an in-house technician.

**Get it in writing**

Pricing, scope, response times, and exit terms belong in your agreement.
