# Help Desk Best Practices: Faster Resolution, Happier Users

A help desk is often the only part of IT that employees see. How it performs shapes
how they feel about technology.

**Make it easy to ask**

– Provide **several channels:** phone, email, portal, and chat

– Keep ticket forms short

– Publish a clear **emergency contact** for urgent outages

**Log everything**

Every request becomes a ticket with an owner, priority, and status. If it isn’t 
in the system, it will be forgotten.

**Prioritize sensibly**

Define priorities by business impact and number of users affected, not by who shouts
loudest.

**Communicate well**

– **Acknowledge quickly,** even if the fix takes time

– **Give updates** at promised intervals

– **Use plain language,** not jargon

– **Confirm resolution** with the user before closing

**Resolve at first contact where possible**

Equip technicians with documentation, remote tools, and authority to solve common
issues without handoffs.

**Build a knowledge base**

Document solutions to repeated problems, and make simple how-to articles available
to users. Fewer tickets and faster answers follow.

**Use escalation properly**

Define when tickets move to more senior technicians, and don’t let them bounce between
people.

**Find root causes**

Review ticket trends. If the same issue appears repeatedly, fix the cause instead
of treating symptoms.

**Measure**

– First response time

– Resolution time

– First-contact resolution rate

– Reopened tickets

– User satisfaction scores

**Train and support the team**

Good technicians need training, time for documentation, and manageable workloads.

**Close the loop**

Short satisfaction surveys help you spot problems early.
