Many organizations use Teams only for meetings. Used well, it can replace piles
of email and scattered files.

**Structure matters**

– **Teams** represent departments, projects, or clients

– **Channels** organize topics within a team

– Keep the structure simple. Too many teams and channels create confusion.

**Habits that help**

– **Post in channels, not private chats,** so information is searchable and shared

– **Use @mentions** sparingly for real attention

– **Use threads** to keep conversations tidy

– **Pin important messages** and key files

**Files and collaboration**

Files in a Teams channel live in SharePoint. Co-author documents live, rather than
emailing versions back and forth.

**Meetings**

– Use agendas and share them in advance

– Record and transcribe when appropriate

– Use meeting chat for notes and follow-up

– Try breakout rooms and whiteboards for workshops

**Apps and automation**

Integrate Planner, Lists, Forms, and Power Automate to track tasks, collect information,
and automate approvals.

**Governance**

– Set naming conventions

– Assign owners to every team

– Control who can create teams

– Review and archive inactive teams

**Train your people**

A short onboarding session pays off. Share a one-page guide of company norms, such
as response expectations and when to use chat vs. email.

**DBR Soft can help you roll out and govern Teams effectively.** **[Contact us for more information.](https://dbr-soft.com/contact/)**
