Data residency refers to the physical or geographic location where data is stored
and processed.

**Why it matters**

– **Legal exposure:** data stored in another country may be subject to that country’s
laws and government access powers

– **Privacy obligations:** Quebec’s Law 25 requires assessing risks before communicating
personal information outside Quebec

– **Customer and contract requirements:** many public sector, healthcare, defence,
and financial customers specify Canadian hosting

– **Trust:** customers care where their information lives

– **Performance:** nearby data centers can reduce latency

**Residency vs. sovereignty**

– **Residency** is where data is located

– **Sovereignty** is about who has legal authority over it. A foreign-owned provider
operating a Canadian data center may still be subject to its home country’s laws,
which is a concern for some organizations.

**Where data goes without you noticing**

– Email and collaboration platforms

– Backup services

– CRM and marketing tools

– AI tools and chat assistants

– Support providers with remote access

– Analytics and logging services

**Practical steps**

1. **Map your data:** what sensitive data do you hold, and where is it stored?

2. **Review vendor settings.** Many cloud services let you choose a region, such
as Canadian regions for Microsoft Azure and Microsoft 365.

3. **Check contracts and subprocessors** to see where support, backup, and processing
occur

4. **Choose Canadian providers** where residency or sovereignty is critical

5. **Use encryption** with keys you control for sensitive data

6. **Document decisions** and risk assessments

7. **Review regularly,** since vendors change their infrastructure

**Don’t overcorrect**

Canadian hosting isn’t automatically more secure. Evaluate security practices, certifications,
and support alongside location.

**DBR Soft can review where your data lives and help you meet residency requirements.****
