# Business Intelligence vs. Basic Reporting: What Do You Need?

“We need better reports” can mean very different things. Understanding the difference
helps you invest wisely.

**Basic reporting**

Fixed reports from a single system: sales totals from your accounting software, 
tickets from your helpdesk, hours from timesheets.

– **Strengths:** simple, familiar, inexpensive

– **Limits:** siloed data, manual combining in spreadsheets, little interactivity

**Business intelligence (BI)**

Combines data from multiple sources and presents it in interactive dashboards.

– **Strengths:** one view across systems, drill-down and filtering, trend detection,
automatic refresh

– **Requirements:** data preparation, defined metrics, and ongoing care

**Signs you need more than basic reporting**

– Staff rebuild the same spreadsheet every month

– Departments report different numbers for the same metric

– Decisions wait for someone to compile data

– You need to see trends, not just totals

– Leadership wants real-time visibility

**Signs you don’t (yet)**

– Your questions are answered by existing reports

– Data quality is poor, so fix that first

– No one has time to maintain dashboards

**Steps to start**

1. List the key decisions you want data to support

2. Define metrics clearly (what exactly counts as “revenue”?)

3. Clean your source data

4. Start with one dashboard in a tool such as Power BI

5. Review usage and refine

**Common mistakes**

– Building dashboards nobody uses

– Too many charts and not enough insight

– Ignoring data quality

– No owner for the data

**Right-size it**

A well-built spreadsheet or a single Power BI dashboard often beats a large platform
that nobody maintains.
